Business cover letters are responsible to make that first 5 second impression on the reader, and if you fail to impress him in couple of seconds, than you have failed to get through with your content as well. The printed matter needs to be formulated and written differently from that sent over email. Those two ways of communication are worlds apart in terms of how people accept them, read them, remember them.

E-mail adapted cover letters for business

Never before has it been so easy to send loads of mails to potential clients in a snap, but than again the web made it so easy for e-mail owners to skip, delete or block that kind of content before it even lands in their inbox. The golden rule is to use both tactics, direct mail and email communication to address your buyers or business partners. Smart businesses will use both ways to get their word out.

Using e-mail to spread the word about your new product or service, requires the implementation of some key guidelines on email business cover letters:

1. Correct formatting - the email reader needs a certain type of formatting if you want to have them want to read and digest what you send them. All you need to do is to remember some key formatting rules:

a. The so called KISS philosophy - keep it short and simple.

Use Readers Digest style of English for best results. Try to stay objective without directly praising yourself or humiliating your competition.

b. Paragraph length - the paragraph length should not exceed seven lines.

If you are not able to explain the main objective of your paragraph in 5 sentences, than do not bother to write it at all.

c. If you can stay professional, objective and interesting in your paragraphs, than you are allowed to write them as many as you feel necessary.

However, the ideal length of a business cover letter would be about four to six paragraphs.

d. Keep the colors appealing and not overshadowing the importance of the content.

Use only bold or underlining when you want to highlight some point. It is easier on the eyes. Kepp it under 3 basic colors if you want to leave a good impression with your readers.

Try to make your color scheme such that it supports the content, it should invite the reader to read through the whole content and not being distracted by too many pictures or colors.

2. Whatch out for the words in the subject line that usually get penalized as spam.

The best would be to use the opt-in method to obtain the email id of the customer (opt-in method is a method where the customer answers to an ad or offer by accepting to receive further information and gives you his email id for this purpose voluntarily). For some it may not seem worth bothering with subject lines, but neglecting the importance of right content in the subject line may get more than 30 percent of all your sent mails spammed or simply ignored.

3. The body of your business cover letter is the crucial part of your email campaign, it will decide on whether you sell or fail.

Do not sell yourself short with that first email campaign, use that email to salt your customers and keep them thirsty for more. A good business cover letter has at least three follow up business cover letters prepared in advance, that way you have built yourself a perfect highway to establish a deep and trustworthy relationship with your target audience.

Each business cover letter you send has to read itself as if it was the first one - attractive, useful, professional and effective.
