There’s little doubt that many companies would benefit greatly from streamlining the administrative side of their business, cutting down on the excessive amounts of time spent on administrative activity.
Indeed, whilst many companies have already taken measures to speed-up proceedings in the office by investing in high-tech printers and photocopiers that are capable of duplicating, collating and stapling all at the click of a few buttons, there are clearly still areas that could be vastly improved in terms of speed and efficiency.
The mail room, for example, is one such area. Manually checking the dimensions, weighing each item of mail and then establishing the cost in relation to this can be a very time-consuming exercise. Not only that, many companies may end up paying too much postage on certain items, ‘just to be on the safe side’. And this is clearly one area where there is room for improvement in many businesses.
Franking machines have been around for years, but they are becoming more and more sophisticated and have far more functionality than they once did. But even the basic franking machines today are worth their weight in gold, as Royal Mail actually charge less money for items that have been franked than they do for items with traditional stamps.
And the machines at the more advanced end of the spectrum can improve business productivity significantly by automatically processing mail that is both mixed in size and weight. As each piece of mail passes through the franking machine, it detects the dimensions of the mail and the correct postage is automatically applied. Not only does this speed up proceedings considerably, it also ensures that the correct postage is being paid each time.
Indeed, digital franking machines also allow businesses to brand their outgoing mail with their company logo and return address, as well as any other ad-hoc slogans. Perhaps there is a particular event that month that they wish to advertise, or a Christmas message they would like to express. Whatever the reason, digital franking machines allow businesses to optimise their outgoing mail and use every possible promotional avenue to their advantage.
Ultimately, more and more organisations are realising that by tracking their mail more effectively, they can streamline their business and maximise all possible revenue options through envelope-advertising. Not only do digital franking machines cost less to dispatch standard letters and packages, they also greatly enhance a company’s efficiency by cutting out a lot of laborious manual-handling and this can only be a good thing. After all, every penny counts.
